Property Specialist
Description
We are seeking an experienced and motivated Property Specialist to oversee the day-to-day operations and long-term planning of a diverse portfolio of residential and commercial properties. The ideal candidate will have a strong foundation in property and asset management, excellent organizational and communication skills, and a demonstrated ability to manage multiple stakeholders, vendors, and maintenance projects.
This role is integral to maintaining high standards of service delivery across a minimum of 10 strata developments. It requires hands-on involvement in financial coordination, property inspections, contractor liaison, and governance support to Executive Committees. The position includes occasional evening and weekend availability for urgent matters.
Responsibilities:
- Prepare and review property contracts, service agreements, and monthly management reports
- Coordinate and monitor property maintenance and repair projects, ensuring service standards and cost-effectiveness
- Source, vet, and negotiate with contractors and service providers for ongoing and ad-hoc needs
- Manage resident and owner inquiries, resolving complaints and disputes in a professional, timely manner
- Organize and maintain accurate property records, including financial statements, vendor documentation, and maintenance logs
- Liaise with accounting personnel to ensure timely invoicing, payments, and year-end reconciliations
- Oversee the preparation and submission of documents for Annual General Meetings (AGMs), Extraordinary General Meetings (EGMs), and Executive Committee meetings
- Draft and distribute meeting minutes, ensuring compliance with property bylaws and procedural requirements
- Conduct property inspections, initiate repair requests, and follow through on compliance and safety issues
- Train and support junior team members or administrative staff as required
- Provide input on operational budgets, service charges, and forecasting for each property
- Manage on-call responsibilities for urgent matters relating to the property portfolio
Requirements:
- Bachelor’s degree in Real Estate, Business Administration, Facilities Management, or a related field preferred
- Minimum 5 years in property management (strata or residential/commercial)
- Hands-on experience with managing vendor relationships and maintenance contracts
- Strong understanding of financiail reporting and invoice processing
- Experience preparing AGM/EGM documentation
- Familiarity with property legislation, compliance issues, and governance frameworks
