Leasing Administrator

Description

We are seeking a proactive and detail-oriented Leasing Administrator to assist with administrative and clerical responsibilities related to property leasing activities. This role will support senior team members across the leasing and legal departments and ensure efficient handling of leasing documentation, coordination tasks, and reporting. The ideal candidate will have a strong administrative background, preferably within a legal or real estate environment, and be comfortable managing multiple priorities.

Responsibilities

  • Prepare, review, and update legal documents associated with leasing transactions
  • Gather, verify, and summarize data relevant to lease agreements
  • Maintain accurate and up-to-date lease records in internal databases
  • Cross-check property management system entries against lease documentation to ensure accuracy and compliance
  • Coordinate meetings, maintain organized digital and physical filing systems, and assist with general department logistics
  • Serve as a key point of contact for internal teams, external clients, and governmental bodies
  • Conduct property-related research both online and via relevant government agencies
  • File real estate documentation with applicable governmental departments
  • Manage applications related to stamp duty exemptions or reductions
  • Compile and distribute weekly and monthly leasing reports for internal stakeholders
  • Provide comprehensive administrative support to senior leasing personnel and act as a back-up to the department’s administrative assistant when needed

Requirements

  • Legal secretarial background is strongly preferred
  • At least 3 years of experience in a secretarial or administrative capacity, ideally within a legal or real estate setting
  • Demonstrated ability to draft, revise, and format property-related legal documents
  • Capable of managing high volumes of documentation with strong attention to detail
  • Adept at supporting multiple team members and juggling varied administrative duties
  • Familiar with filing processes and online systems related to Lands & Survey or similar real estate registries
  • Proficient in Microsoft Office Suite, particularly Word, Excel, and Outlook
  • Proven discretion when handling confidential information
